Timers: A timer meeting will be held for both shifts at approximately 7:20 a.m. This is for all timers from both teams and is led by the home team. The head timer is responsible for distributing stopwatches and clipboards. He will lead this meeting at our home meets. Time: 1st shift – start at 7:30 - events 1-44, 2nd shift events 45-90. 9 slots per shift @ home meets. 12 slots per shift @ away meet in 8 lane pool.
Back-Up Timer – 1 per shift – shift times same as above.

Announcer: Do you have that perfect radio voice? Know the meet format inside out? If so this position is good for you. This position is responsible for making all event announcements as well as the miscellaneous announcements for concessions , prizes and lost children! Time: 1st shift events 1-44, 2nd shift events 45-90. 1 per shift – home meets only.

Concessions Set-Up:  Set-up Saturday @ 6:30 and work 1st shift until 9:30 am. Fill ice chest with ice and drinks; set up tables and make sure area is clean, and food is set out. Make coffee and lemonade. Start grills. Time: Starts at 6:30 a.m. Saturday morning. Approximate work time 3 hours. 3 per meet.

Concessions Drive: Run errands such as drive to King Soopers to pick up ice. Pick up bagels from Einstein’s bagels. Pick up donuts from Donut Maker. Help with set up of morning concessions and work 1st shift at concessions until 9:00am Time: Starts at 6:00 a.m. approximate work time is 3 hours. 1 per meet.

Concessions: Sales of concessions, restock product and food preparation as necessary. Time: 9:30 – 12:30 (3 per meet)    12:30 – Clean-up (2 per meet).

Clean-Up:  9:00 – 12:00 First shift person needs to make sure that all trashcans are emptied and new bags are inserted. Check bathrooms – pick-up paper and restock toilet paper/paper towels as needed. Help distribute and pick up drink cups from deck volunteers.  2 per meet.

Clean-Up:  12:00 - 3:00 Clean up deck area and empty trash cans as needed. Pick up trash in bathrooms and restock toilet paper/paper towels. Help distribute and pick up drink cups from deck volunteers.  Put away all set up materials from meet. Clean up clubhouse and scoring area, including emptying trash cans. Put all tables and chairs back to original set-up. 3 per meet.

Volunteer Position Descriptions

Below are brief descriptions of volunteer positions. Please note that the time commitment and job description is subject to change and will vary from meet to meet, based on what needs to be done. We appreciate your flexibility.

 

Scoring: The scoring and ribbon table is where the swimmer’s placement is determined, the results are entered on the computer, the meet is scored and award ribbons are prepared. This position is primarily clerical. If you enjoy meeting new people, like to work in the shade (sometimes air-conditioning) this is the job for you! Time: Starts at 7:30 a.m. and runs through event 44. 2nd shift starts at event 45 and runs through event 90. 2 per shift.

Deck Clerk of Course Helper: Pass out cards for the races as they are announced. You must have a loud voice and be willing to look for swimmers. It really helps if you know many of the swimmers. Keep track of up-coming races on the heating pole to help parents know which races are imminent. Organize and shift swimmers from bench to bench as the race proceeds. Keep track of all swimmers for each heat. Time: 1st shift starts at 7:30 a.m. and runs through event 44. 2nd shift runs from event 45-90,through the end of the meet. Approximate work time 3 hours. 2 per shift.

Deck Runner: Collect cards from timers and deliver to scoring area. Check with scribe to see if there are any DQ slips to be taken also. Time: 1st shift starts at 7:30 a.m. and runs through event 44. 2nd shift starts at event 45 and runs through the end of the meet. Approximate work time 3 hours. 3 per shift.

 Ribbons/Speeding Tickets: Put labels on ribbons and speeding tickets.  Organize/file them for distribution by the coaches. The coaches will distribute these on Tuesday at the end of each age group practice. Time: Collect ribbons/labels near end of meet (around event 80). Must stay to the end of the meet, sometimes later. Approximate time 2-3 hours. 1 per meet.

Phone Volunteer/Volunteer Check-in: Responsible for getting volunteer lists from volunteer coordinator . Call all volunteers to confirm the volunteer position. Prepare name tags & drawing tickets for all volunteers. Time: Thurs before meet.  Check in volunteers for their positions at the meet – pass out name tags. Ensure all slots are filled; find alternate if necessary. Time: 7:00 a.m. through start of 2nd shift. 1 per meet.

Alternate: This position is in standby mode at the meet in the event that a person does not show up for their slot. If everyone does show up, you may be asked to help in miscellaneous areas (e.g., help with concessions when that area is busy). 4 per meet. Time: 1st shift starts @ 7:45 through events 1-44, 2nd shift events 45-90

Set Up: Prepare and set up the pool deck for a home meet by moving tables, benches, chairs, set-up of flags, including false start line and rope to keep spectators from being too close to the pool. Prepare the cards for the meet by putting the labels on them and then organizing them so they are ready for the Clerk of the Course on meet day. Starting time on Friday TBD. Approximate work time is 2 hours.  5 per meet.

MISC. JOBS - PARTIES: Plan & organize activities, decorations & food for each of our swim team parties, including Swim Under the Stars, Banquet and Sleepover. People who volunteer for each party will coordinate chaperones, car pools, food and all other duties required for that party.
